1. Who we are
The MOITUS hackathon series and this website are operated by TechHub Europe Ltd, trading as TechHub (“TechHub”, “MOITUS”, “we”, “us”, or “our”) — a tech-startup community provider and innovation network founded in London, UK, with hubs across Europe. We are a private limited company (incorporated in England & Wales on 22 October 2009, Company No. 07054279), and the data controller responsible for the personal data described in this policy. As a UK-based organisation, we process personal data in line with the UK GDPR and the Data Protection Act 2018.
2. What data we collect
To run our events and this website, we collect:
- Registration data: your name, email address, the hub/city you’re attending, your role, and optional details about what you’d like to build.
- Attendance data: check-in records and, where relevant, dietary or accessibility requirements you tell us about.
- Submission data: the public code-repository links and short write-ups teams submit at the code freeze. These are published by you to a public repository.
- Event media: photographs and video recorded at events (see “Event media” below).
- Communications data: messages you send us and your marketing preferences.
3. Why we use it (lawful basis)
- Performance of a contract: to register you, run the hackathon, evaluate submissions and award prizes.
- Legal obligation: to meet tax and accounting obligations connected to prize payments.
- Legitimate interests: to run safe, well-organised events, prevent abuse of partner APIs, and improve future events.
- Consent: for optional marketing, and for sharing your details with partners or sponsors (see below). You can withdraw consent at any time.
4. Sharing with partners and sponsors
Our events are run with corporate and civic partners (for example telecoms, cloud and public-sector organisations). We only share your personal details with a partner or sponsor where you have explicitly opted in — for instance to receive accelerator information or recruiting contact. Winning teams’ team name and project may be published in event write-ups. We do not sell personal data.
5. Event media
Hackathons are photographed and sometimes filmed for event write-ups and future promotion. If you would prefer not to appear, tell a member of staff at check-in and we will do our best to accommodate you; you can also ask us to remove identifiable media of you afterwards.
6. Anonymisation of the public attendee roll
The public attendee listing on this website is anonymised. Full names are reduced to an initial, an abbreviated surname and a country code, and are not linkable to an identifiable person by a visitor to this site. We do not publish full names, contact details or registration information.
7. Other recipients
We also share data with: our judges and mentors, to evaluate and support teams, under confidentiality; payment and banking providers, strictly to disburse prizes; our IT and hosting providers, acting on our instructions; and public authorities where required by law.
8. International transfers
Where data is processed outside the UK or the European Economic Area, we rely on appropriate safeguards (such as adequacy decisions or standard contractual clauses) to protect it.
9. Retention
Registration and attendance data is kept only as long as necessary to run the relevant event and to meet legal obligations, and is then securely deleted or anonymised. Prize-payment records are retained for the period required by tax and accounting law. The anonymised attendee listing may be retained indefinitely.
10. Your rights
Under the UK GDPR you may request to:
- access the personal data we hold about you;
- rectify inaccurate data;
- erase your data, where applicable;
- restrict or object to processing;
- data portability; and
- withdraw consent at any time.
To exercise any right, contact us at hello@moitus.com. We may need to verify your identity before acting on a request. You also have the right to complain to the Information Commissioner’s Office (ICO).
11. Cookies
This website uses only the strictly necessary cookies required for it to function. It does not use advertising or third-party tracking cookies.
12. Security
We apply technical and organisational measures appropriate to the data, including access controls, encryption in transit and at rest for sensitive records, and confidentiality obligations on staff, judges and mentors.
